Headcount Planning is one of the primary use cases of ChartHop, and whether this is something that your company does annually, quarterly, or continuously, ChartHop provides a flexible interface that can accommodate any hiring plan.

To install the Custom Fields for Headcount Planning bundle, you must be an owner to access it. If you are not an owner, please contact your admin, and they can configure the install.
This bundle includes custom fields for your datasheet you can use as suggestions/idea-generation to structure headcount planning in your organization. You can also introduce additional context to managers during your headcount planning process.
Additionally, this bundle's default privacy setting is "Manager Only", meaning that only managers of the open role or users with recruiter or sensitive access levels can see the custom fields.
Within the Choose Columns Modal, you will see the data generated by the bundle. To quickly pull up the custom fields in this bundle, you can filter for "HC" as you select your columns.
With custom columns set, you will see that some of them contain pencil emojis ✏️. This emoji indicates a field that requires input when beginning your headcount process. You can do this by selecting the Edit Sheet button.
Fields that do not contain ✏️ have Smart Calculations and will auto-populate based on a function. After inputting the information in editable cells, you can save your view as "Hiring Plan." To do this, hover over your current view and select "Save as new view" from the drop-down menu. Name your view and hit Enter to save your view for easy access in the future.
✏️ Evergreen Role: This field allows you to select whether or not this role is consistently being hired for aka “evergreen”
✏️ Expected Start Date: Where Managers can input the expected start date of new hires.
✏️ Interview Panel: A “persons” field type where you can select who will be responsible for interviewing applicants.
✏️ Headcount Priority: What is the priority of this hire on a scale of 1-4 with customizable labels like “nice to have” or “needed for success”
✏️ Contract Length (Months): If this is a contract role, how many months is the contract for?✏️ Estimated Total Comp: An open money field where you can enter an approximate amount of total compensation for this role.
✏️ OKR Initiative: An open text field where you can state any particular OKRs or KPIs associated with this hire.
✏️Role Summary: A long text field where managers can input what the summary of the open role is.
✏️Headcount Plan: A single select field to mark is a role was Approved (On Plan) or an Ad Hoc Addition (Off Plan)
✏️Example Former Employer: A long text field to enter example former employers that could be helpful in creating a target open role profile.
✏️Hiring Budget Status: A single select field to mark if a role is coming in under, at, or over a pre-approved budget.
✏️Target Years of Experience: How many years of experience should this person have?
Starting Month: A smart calculation that returns the month of the Start Date.
Starting Quarter: A smart bucket that indicates which quarter this new role will start based on Start Date.
Target Start Period: A smart bucket that categorizes the target start date into one of the following categories: this week/month/quarter/6 months/Year
Recruiting Cost: A smart calculation that allows you to enter a factor of the base salary that might be allocating to recruiting agency expenses.
Monthly Cost: A smart calculation that divides annual cost of a given role by 12.
P&L Impact: A smart calculation that calculates the pro-rated cost of a specific role in a given year
Employee Level Bucket: A smart bucket that categorizes roles into Senior Leadership, ICs, Assistant, Frontline Managers, or Management.[customize calculation] Estimated Days to Fill: A smart field that estimates the total number of days it may take to fill a role based on the seniority level and if it is technical or non-technical.
Difficulty to Fill: A smart field that estimates the general level of recruiting effort predicted for a particular type of role based on compensation total and level.
Target Open Date: A smart field that auto-returns a date you should use as the target to open the role by, based on the Estimated Days to Fill.
Operating Group: A smart bucket that auto-groups employees into 3 different operating groups based on their Department Function.
Role Type: A smart bucket that auto-groups employees as technical or non-technical based on their Operating Group / Department Function.
