Generating documents

The template generation tool is a powerful feature that allows you to send your customized documents to employees both individually and collectively across your entire organization.

Once you've created a template, you will be able to use it to generate PDF documents using the features available in the Generate PDF documents view.

To access the Generate PDF documents view:

  1. In the Settings option in the left sidebar, select Templates.
  2. Select the template you wish to generate from the template list.
  3. Select the Generate PDFs... option from the drop down menu at the top of the view.

Using the filter tool

You can use the filter tool to specify the full list of members who will receive your documents. You can also use the Generating X documents counter to confirm that the correct amount of documents will be generated.

Previewing documents

You can preview the final render of your documents before sending them to any member in your organization.

Select the action menu and then Preview...

To preview final versions of your documents:

  1. In the Settings option in the left sidebar, select Templates.
  2. Select the template you wish to generate from the template list.
  3. Select the Generate PDFs... option from the drop down menu at the top of the view.
  4. In the Generate PDF documents view, select the action menu of any member from the members list.
  5. Select Preview....

Generating a PDF document

By default, you can generate a document and have it download to your personal computer.

To default generate a pdf document:

  1. In the Settings option in the left sidebar, select Templates.
  2. Select the template you wish to generate from the template list.
  3. Select the Generate PDFs... option from the drop down menu at the top of the view.
  4. Select Generate Documents.
  5. Select Download Documents after the generation task completes.

Saving documents to an employee's profile

When you generate documents, you can send them directly to people in your organization. Documents are made available through the Files tab on the profile page.

You can also manage the sensitivity of your documents and determine whether they'll be available to all roles, or available only to manager roles and up. Document sensitivities can be set using the default sensitivity levels, or by limiting access to them by restricting them to specific custom fields. Learn more.

To save a document to a person's profile:

  1. In the Settings option in the left sidebar, select Templates.
  2. Select the template you wish to generate from the template list.
  3. Select the Generate PDFs... option from the drop down menu at the top of the view.
  4. Enable the Save document to each person's profile option.
  5. In the Save file as drop down, select a sensitivity level:
    • Miscellaneous (Highly sensitive): The document may only be viewed by a manager level role and above.
    • Miscellaneous (Manager-only): The document may only be viewed by a manager.
    • Miscellaneous (Manager-shared): The document may be viewed by both an employee and their manager.
      • Email each person a link to download their own: When enabled, will email both the employee and the employee's manager individual documents.
    • Custom field(s): All custom fields will be available in the list and will inherit the settings of whichever sensitivity level was assigned to them.

Emailing a direct report's documents to a manager

When preparing to send documents to specific employees, you can elect to have those documents sent to their direct reporting manager as well.

To send employee reports to direct managers:

  1. In the Settings option in the left sidebar, select Templates.
  2. Select the template you wish to generate from the template list.
  3. Select the Generate PDFs... option from the drop down menu at the top of the view.
  4. Enable the Email managers a zipfile of their directs' documents option.
    • Once the above option is enabled, the Generate Documents button will become the Generate and Send Documents button.
  5. Select Generate and Send Documents.
