Managing approval delegates
Admins can review and manage approval delegates for anyone in the org from one place. Use this to see who has a delegate, set one up on someone's behalf, or clean up delegates during a reorg or departure.

Before you begin
- Approval delegates must be enabled. If you don't see this option, contact your ChartHop rep.
- Only admins whose role grants permission to manage approval delegates can access this view. Other users can manage their own delegate from user settings.
Open the org-wide delegate view
Go to Admin > Approval Delegates to see a table of everyone with a delegate configured, one row per approver.
What the table shows
- Approver: the person whose approvals are delegated.
- Scenarios: their scenario approvals delegate, if set.
- Time Off: their time off approvals delegate, if set.
- Status: active, scheduled (future start), or expired. Expired delegations stay listed (greyed out) for easy reactivation.
Set a delegate on someone's behalf
- In Admin > Approval Delegates, add a user or select a row to edit.
- Select the approver.
- Choose a delegate for each approval type. Only active users in filled jobs are eligible. One delegate per type; a new selection replaces the existing one.
- Optionally set start/end dates for a time-scoped delegation. Leave blank for always-on.
- Save.
Edit or remove a delegate
- Edit: change the delegate or dates. Set new dates to reactivate an expired delegation.
- Remove: the former delegate stops receiving delegated tasks. The approver's own tasks are unaffected.
Notifications and audit trail
- The approver is notified when their delegate is set or changed on their behalf.
- All changes are recorded in the audit trail as performed by you on behalf of the user.
Good to know
- Delegations are tied to the delegate's job seat. If they leave or change roles, the delegation is removed and the approver is notified.
- Delegates cover scenario and time off approvals only. Compensation review approvals are not delegable.
- Delegates can approve, reject, comment, and edit (scenarios). Reassigning approvals and sending reminders are not available to delegates.
