Hiring workflows with ADP
adp outbound workflows what this covers as part of your charthop hris onboarding, you're enabling the adp data connector this allows charthop to automatically send approved new hires to adp as in progress hires , so your team doesn't have to re enter data manually there are three things your team needs to complete before we can go live identify and confirm the fields you want charthop to send to adp validate that your greenhouse hiring workflows connect correctly to charthop if applicable confirm your team understands the in progress hire handoff in adp how the hire flow works charthop's role is to create the in progress hire record in adp adp does not consider the hire complete until your team finishes it there step 1 candidate accepted ats → step 2 new hire created in charthop charthop hris → step 3 charthop sends hire to adp adp data connector only triggers when all 5 required fields are populated → step 4 — customer action required finish in progress hire in adp adp workforce now no fields sync to this employee until this step is done two things to know before go live step 3 is conditional charthop will only send the hire to adp once all five required fields are populated given name, family name, hire date, adp onboarding template code, and adp payroll group code if any of these are missing, nothing is sent make sure every new hire record in charthop has all five before expecting it to appear in adp this includes any other fields you set as required on your onboarding template in adp as well step 4 is a hard blocker for all ongoing syncs until your team completes the in progress hire in adp, no fields will sync to that employee's adp record including any updates made in charthop after the hire was sent the employee is on hold in adp until your team submits them field mapping charthop → adp you decide which fields charthop sends to adp when a hire is created fields not included here will need to be entered manually when your team completes the in progress hire in adp how to fill this in for each field you want charthop to send, provide the exact adp field code name if you're unsure, your adp admin can find it under setup → hr → user defined fields in adp workforce now leave it blank and we'll work through it together here's a list of all available fields charthop can send to adp fields charthop will send to adp ★ required step 3 will not trigger until all five required fields are populated filling out a list of the fields you want to send to adp is the first step in your workflows this will ensure all of those fields are mapped and marked as required charthop field adp field / code name notes ★ first name given name required to send hire to adp ★ last name family name required to send hire to adp ★ hire date required to send hire to adp ★ adp onboarding template code required to send hire to adp ★ adp payroll group code required to send hire to adp any additional fields that are required in your onboarding template fields your team will complete manually in adp anything not in the table above will need to be entered when your team finishes the in progress hire in adp document them in a separate sheet so your hr or payroll team knows what to expect adp field who enters it notes any fields you want adp to be the source of truth for the adp in progress hire handoff when charthop sends a hire to adp, adp holds it as an in progress hire until a human completes it charthop does not finalize the hire in adp that belongs to your team no sync will occur for this employee until this step is complete until the in progress hire is finished in adp, no data will sync to that employee's adp record including any updates made in charthop after the hire was sent the employee is on hold in adp until your team completes and submits them this also means they will not be set up for payroll completing this step promptly after each hire is sent is critical what your team needs to do in adp when a hire is sent log in to adp workforce now navigate to people → new hires → in progress locate the hire sent by charthop (it will appear with the name and start date charthop provided) review the pre populated fields and complete any remaining required fields submit the hire to move it from in progress to active define your internal process before go live who owns the adp in progress hire completion step? what is your sla for completing a hire in adp once it's sent from charthop? how will the adp owner know a hire is waiting for them? consider a slack notification, a charthop action alert, or a recurring adp in progress hire queue review who is the backup owner if the primary is out?
