Managing allocations

allocations show how much of a person's time goes to each group, like an initiative, product vertical, or cost center admins can import allocations, review them on each group, and report on who's over or under allocated before you begin allocations must be enabled for your org if you don't see the supports allocations setting on your group type configuration, contact your charthop rep only admins whose role grants permission to edit group types and groups can set up and import allocations the groups you allocate people to must already exist to create groups in bulk, see managing groups https //docs charthop com/creating and managing groups how allocations work an allocation is a decimal share of a person's time on a group 0 5 = 50% allocations are effective dated, with a start date and an optional end date a person can be split across groups in different group types, like 50% in an initiative and 50% in a product vertical charthop sums allocations across all group types allocations work with any group type membership setting, including single and multiple totals are measured against 100% above 100% is over allocated; below 100% is under allocated 0% allocations are allowed use them to show someone in a group for visibility, with no fte impact turn on allocations for a group type go to settings > groups select the group type, like initiatives in the group type details, check supports allocations select save import allocations open the list of groups for a group type that supports allocations select import allocations at the top of the page upload your csv file and select continue confirm your columns are matched correctly and select continue on the preview page, choose whether to add people to groups they aren't in yet (see below) review any errors, then commit the import the importer covers every group that supports allocations, not just the group type you started from csv columns column required details group yes group name use the lowest level group (like a sub initiative), not the full hierarchy person yes work email, job id, or employee id allocation yes decimal, like 0 5 for 50% effective date yes when the allocation starts end date no when it ends useful for allocations that only last a quarter, a year, or a few weeks notes no saved with the change adding people to groups on import select the checkbox on the preview page to add anyone who isn't already a member of the group if you leave it unchecked, rows for non members show an error and aren't imported the importer adds membership but never creates groups updating allocations same effective date the new value replaces the existing allocation new effective date charthop adds a new change and keeps history, like other effective dated data view allocations groups on a group type's page, switch to the table view to see each member's allocation start and end dates on group detail, manage members, allocations, and dates inline saving shows a summary of changes to confirm to remove someone, select ⋯ on their row, then remove the sidebar shows the group's fte equivalent, like 7 3 fte person profile the profile shows a person's active allocations by group type, with totals this view is read only data sheet and scenarios column shows group allocations every group the person is allocated to, with the percentage allocations total sum across all group types over allocated yes if the total is over 100%; otherwise no under allocated yes if the total is under 100%; otherwise no filter with cql to find under or over allocated people, for example allocations isunderallocated build a smart bucket for a single over/under/at 100% column add these columns to scenarios to view them good to know allocations can't be edited in scenarios yet the import preview can't show every row on very large files (around 10,000 rows) watch for error patterns before you commit charthop flags over allocation but doesn't block it built in allocation dashboards and cost per group aren't available yet use data sheet columns and cql for now import issues? contact charthop support see also managing groups https //docs charthop com/creating and managing groups , sharing groups https //docs charthop com/sharing groups , data sheet https //docs charthop com/data sheet
