Sensitive data

ChartHop classifies all information as varying levels of sensitivity, and filters access to that information according to the user's access level and role in the organization.

If any sensitive information is selected in Select Columns, you will only see sensitive data for individuals who report under you and directly under you.

If you have the access level to see all sensitive views and still cannot view the data, ensure the eye icon at the top right of the platform is enabled to visible. If the eye icon is enabled to hidden (slash through eye icon), it prevents sensitive data from being viewed if sharing your screen with others.

The sensitivity levels are as follows:

  • Global Public: Considered "public knowledge" and is permissible to share with all users throughout ChartHop. (Example: organization name and logo.)
  • Org Public: Considered public knowledge within a single organization, and is visible to anyone in that organization. (Example: org chart and structure.)
  • Manager-Shared: Not visible to the entire organization -- only visible to those with sensitive access, the person themselves, and anyone whom that person reports up to. (Example: compensation.)
  • Manager-Only: Not visible to the entire organization -- only visible to those with sensitive access and anyone whom that person reports up to. (Example: manager performance review.)
  • Personal: Not visible to the entire organization -- only visible to those with sensitive access and the person themselves. (Example: year of birth.)
  • Highly Sensitive: Only visible to those with sensitive access. (Example: internal HR notes.)

Built-in levels

A number of fields are automatically classified as Sensitive. These are:

  • Compensation: All forms of compensation are¬†Manager-Shared.
  • Demographic information: Birth Year and Ethnicity are¬†Personal. Gender and Birth Month/Day default to¬†Org Public, but can be configured by the person in privacy settings.
  • Home Address,¬†Mobile Phone,¬†Home Phone, and¬†Home Email¬†default to¬†Personal¬†but can be configured by the person in privacy settings.¬†Work Email,¬†Work Phone,¬†Work Fax¬†are Org Public.
  • Departure Type¬†is¬†Manager-Shared.

Custom fields

For custom fields, your organization can control the sensitivity level of any given field.

No-nos

ChartHop should not be used to store Social Security numbers, medical or health records, financial account numbers, or information about children under the age of 16. If you have questions about this policy, please contact privacy@charthop.com.
